Employee onboarding access checklist: From approved role to first sign-in
Blog post from WorkOS
Effective employee onboarding access management requires more than creating accounts: organizations should verify approved employee details, schedule work around the new hire’s start time and timezone, assign owners to dependencies, and distinguish provisioning, activation, authentication setup, and authorization. A checklist should translate the employee’s approved role into prioritized application, resource, licensing, and permission requirements while avoiding copied access from colleagues and carefully checking for existing accounts or identity conflicts. Each application may use pre-provisioning or just-in-time provisioning, but both approaches require confirmation that the employee can sign in and perform necessary tasks using their own authenticated account. Secure onboarding also requires a planned method for authentication enrollment and recovery, with temporary credentials or enrollment links delivered through approved channels and never shared or stored in tickets. Readiness should be documented through evidence of account status, activation, successful sign-in, enrollment, and completion of role-relevant app tasks, while failures should be routed according to whether they concern account creation, authentication, or app permissions. The process should also define responses for delayed starts, no-shows, duplicate accounts, and incomplete enrollment, closing only when required access is verified or clearly assigned exceptions remain.
