How Carlos Robledo turned a recruiting report into organizational infrastructure
Blog post from Zapier
Carlos Robledo, a Lead Technical Sourcer at Hims & Hers, created Rex, a 19-workflow recruiting automation system after manual weekly hiring reports and candidate-status tracking became difficult to manage across many open requisitions. Built with Zapier, Ashby, Airtable, Slack, and selective AI support, Rex automates structured tasks such as pipeline reporting, interview updates, stale-candidate and SLA alerts, overdue-feedback reminders, offer notifications, and referral and inbound-applicant workflows. Recruiters can also use an on-demand Slack command to request readable pipeline information rather than wait for scheduled reports. Developed iteratively from feedback from recruiters and later introduced across the broader People organization, Rex reportedly saves up to 50 recruiter-hours per week by replacing manual compilation across roughly 143 roles. Its design emphasizes deterministic workflows for accurate operational data while using AI for building, interpreting requests, and presenting information, illustrating how an individual’s automation can evolve into shared organizational infrastructure.
